Enhancing Workflow Efficiency for Dam Monitoring Teams: A PontoVinte Case Study

In early 2023, I embarked on an exciting consulting project with PontoVinte Software, aimed at transforming the workflow of a dam monitoring team in the northeastern region of Brazil. The team had been relying solely on Excel spreadsheets, which presented numerous challenges in terms of efficiency and integration with national government systems. My mission was to analyze their existing workflow and design a more streamlined system that would enhance their operations and facilitate better integration.

Overview

The project kicked off in February 2023 and concluded in June 2023. My primary task was to assess the old Excel-based workflow and propose a design solution that would enable the team to work more efficiently. This involved several key steps:

1. Workflow Analysis: I conducted a thorough analysis of the team's current workflow, identifying pain points and areas for improvement.
2. Design Proposal: Based on the findings, I proposed a design solution for a new system that would optimize their workflow and integrate seamlessly with national government systems.
3. Prototype Development: After discussions with the contracting company, I began developing a prototype using Figma. This prototype was crucial for stakeholder approval.
4. Implementation Constraints: The design solution had to adhere to certain constraints, notably the restriction to use the MUI library of React for desktop implementation.



Design and Implementation

The new system's design focused on usability and efficiency. Given the limitations of using the MUI library, I ensured that the interface was intuitive and easy to navigate. The desktop screens were meticulously crafted to enhance the user experience, facilitating smoother operations and better data management.

Prototype Highlights

Throughout the project, several key features were highlighted in the prototype:

- Dam Listing: A comprehensive list of dams with filter and search options, making it easier to locate specific dams.

- Dam Details Modal: Each dam has a detailed page (modal) that includes:
    - Dam Details Tab: Key information about the dam.
    - Families Tab: Information about registered families living in the region who need to be                                       notified in case of instability.
    - Alerts Tab: Alerts from inspections conducted by staff on-site.

- Inspection Requests and Tracking: The ability to request and track inspections.
- User Activity Logs: Logs of each user's activities, providing data for process improvements within the team.


Conclusion

This project was a significant step forward in optimizing the workflow of the dam monitoring team. By transitioning from Excel spreadsheets to a more sophisticated system, the team can now operate more efficiently and integrate better with national systems. The feedback from stakeholders has been overwhelmingly positive, and the prototype served as a solid foundation for development.
